What is LUAccess?

LUAccess provides students the opportunity to identify an individual to serve as a proxy, allowing one to view specified student information. Students will have complete control over whom they assign as a proxy and what information the proxy is able to see.

The purpose of LUAccess is to provide students with a means to share selected information with a proxy, while still maintaining the confidentiality of their personal usernames and passwords.

LUAccess is an optional service that students can choose to use (or stop using) at any time.
Through LUAccess, students will be able to grant a proxy permission to view course schedules, term grades, financial aid packages, billing accounts statements and more. Additionally, students can modify proxy permissions at any time, set date ranges to limit data access and monitor the activity of proxies through a history log.

Keep in mind that LUAccess does not grant a proxy permission to contact and discuss student information with a university official. Students would need to grant additional FERPA access through the Registrar’s Office.

Getting Started with LUAccess

How do I get to the login for LUAccess?
The initial email you received about LUAccess gave you a unique URL to get you into LUAccess with a temporary password. If you have already used LUAccess and set up your new PIN, then you can follow this link to login to LUAccess.

This URL was also in the second email you received indicating that a relationship has been established by your student in LUAccess and in the email listing your authorized pages. It is suggested that this URL be bookmarked as a favorite.

I was given a temporary password, but on the reset page, I am asked to supply the old PIN. What do I do?
The reset process is used by many applications other than LUAccess. Please put your temporary password in the box for old PIN on the PIN reset page, and then enter a new PIN (Personal Identification Number) according to the directions.

What is a PIN?
PIN is the acronym for Personal Identification Number and is a password made up of numbers that is used to for LUAccess.

I can’t remember my password/PIN! What do I do?
You can easily change your password by going to the LUAccess login and select the Forgot Pin icon. An email will be sent to your email address with a unique link and temporary password. You will use your temporary password as the “Old PIN” in the PIN reset process.

I am trying to reset my PIN and I receive the following: Your PIN has been disabled; you should have an email with directions telling you how to re-enable you PIN. I did not receive an email.
If you receive this message, please follow the directions to request a pin reset: enter your email address and then select Forgot PIN. This will generate an email with a temporary password. Please note that when you enter your temporary password in the PIN field, the temporary password is case sensitive and cut/paste may add extra spaces which will result in a failed attempt.

My email address is changing, what do I do?
On your proxy profile page, update your email address and click save. The system will then send two email messages. The first to your old email address to inform you that a request for a change from this address has occurred and if it was done in error, there is a unique link to click to cancel the change. The second email is to your new email address indicating that a change to this address was initiated and a unique link to click confirming the change.

I received an email saying I initiated an email change, when I did not initiate the change.
When a person changes their email address, the system will then send two email messages. The first to the old email address to inform you that a request for a change from this address has occurred and if it was done in error, there is a unique link to click to cancel the change. The second email is to the new email address indicating that a change to this address was initiated and a unique link to click confirming the change. If you did not initiate the change, click the link to cancel the request.

On the profile page, I am asked for a state and zip code but I do not have one. What do I do?
It has been raised to the vendor’s attention that international addresses were not properly addressed. Until this is fixed, please enter “Ohio” as the state and “99999” as the zip code.

LUAccess Authorization

How can I find out what my student has authorized me to see?
The student can easily email you a list of your authorizations. Ask your student to go to LUAccess, and select your name from the list of proxies. The student then selects the authorization page and clicks on the icon Send Email to Proxy. An email will be generated to you with the list of items your student has authorized you to see.

I used to be able to see the information, now I can’t…. what happened?
The student is in control of the information that you can view. If you can no longer see an item, please contact the student.

Why can I not see what I expected to see on the list in LUAccess?
The student is in control of what is authorized for you. Ask your student to email you the list of authorizations set up for you.

What do I have to do to be able to contact and ask questions to someone at Lourdes University about my student’s information in LUAccess?
LUAccess is a product that is controlled by the student as to who they identify to view information and what information a proxy can view….. VIEW is the key word. To be able to ask questions about this information that you can view, with an official at Lourdes University, your student needs to give you FERPA authorization .

How does a student give me FERPA authorization so that I can contact and discuss my student’s information with a university official?
A student can easily grant a person FERPA authorization through the Registrar’s office. FERPA information and release authorization form

LUAccess Functionality

I am Proxy for more than one student. How can I see my students’ information in LUAccess?
For each student that has identified you as a proxy, in LUAccess there will be a tab with each student’s name along the top of the webpage. When you select a name, you will see the listing of the items that that student has authorized you to see.

I am Proxy for more than one student. How can I tell which student’s information I am looking at?
When an information item is selected, the information is displayed in a new window or tab. Located in the middle of the web page is the name of the student.

I am a Lourdes University student and a Proxy. Will LUAccess be different for me?
A current Lourdes University student who is a proxy will see two selections when they login to Web for Students and click on LUAccess. Proxy management is for you as a student to designate an individual to be your proxy and authorize items for your proxy to view. Proxy access is for you, as a proxy to view the information your student has authorized you to see.

I can’t make the “Return to Menu” link or the “Exit” link work after looking at my student’s information.
You must click on the profile tab first. Then the other links will work.

How do I know what the individual items are that my student has authorized me to view?
Here is a brief explanation of each item:

  • Student schedule by day and time—a listing of your student’s classes on a date you specify. It includes days, times, class number with name code, and room number
  • Concise course schedule—a listing of your student’s classes for a term you specify. It includes course number and name, credit hours, level, start and end dates, days, times, locations, and instructors
  • View holds—a listing of any holds on your student’s record. It includes hold type, effective dates, amount , reason, originator, and processes affected
  • View term grades—a listing of grades earned in the term specified. It includes, level, program, admit term, admit type, catalog term, college, major academic standing. It also includes subjects, sections, final grades, credit hours, GPA hours, and quality points for each class. It also summarizes current and cumulative GPA and related data
  • Registration status—summarizes various items which may affect registration, such as holds, academic standing, student status, class and curriculum. It also summarized current program information and earned credits
  • Award package for aid year—award overview gives cumulative loan information including loan type and amount. It also lists housing status and expected enrollment status
  • View emergency contacts—a listing of your student’s emergency contacts. It includes the emergency contact’s name, relationship to student, and contact information.
  • Academic transcript—an unofficial academic transcript for your student. This is an unofficial transcript that includes a history of all courses taken at Lourdes, along with the grades earned in those courses.

Getting started with LUAccess

Which students can set up authorized proxies in LUAccess?
Any student has the ability to set up authorized proxies in LUAccess. Login to Web For Students, click on the Proxy Access tab and then choose Proxy Management. You will find an “Add Proxy” link.

Why can’t I use the same email address for my mom and dad or other authorized proxies?
The unique identifier for the authorized proxy in LUAccess is the email address. An email address can only be associated with one person.

LUAccess Authorization

I am selecting items I want my authorized proxy to see, but where is the save button?
The functionality on the authorization web page, where you select the items that you want your authorized proxy to see, saves your selection immediately upon each click. There is no save button. To view your activity, select the History tab to view the most recent actions, and you should see a record that you selected the authorizations.

I am a Lourdes University student and an authorized proxy. Will LUAccess be different for me?
As a proxy, to view the information another student has authorized you (also a current Lourdes student) to see, you can login to LUAccess using your email address. For first time login as proxy, you should login according to the instructions contained in the email you will receive. You will see a tab for each of the students who have authorized you as proxy.

As a student, login to Web For Students, you will see a Proxy Access tab. Clicking the Proxy Access tab will show you two choices: Proxy Management and Proxy Access.

  • Proxy Management allows you, as a student, to designate an individual to be an authorized proxy for you, and to authorize items for that proxy to view
  • Proxy Access allows you, as an authorized proxy, to view the information another student has authorized you to see

LUAccess Functionality

What does the lock mean when I see it next to my authorized proxy’s name on the LUAccess Management webpage?
The lock is displayed until you click on the authorized proxy’s name and select a relationship for the authorized proxy.

What does the number of pages mean next to my authorized proxy’s name on the Proxy Management webpage?
The number of pages indicates the number of items of information you have authorized the proxy to see. Each information item available is a webpage.

I no longer want my authorized proxy to have any access to my information. What do I do?
Access to information can be removed in several ways. You can change the Stop Date on the Profile tab and /or you can remove all checkmarks on the “Authorization” tab. The authorized proxy will no longer see your name when they go to LUAccess.

How can I tell if my authorized proxy has viewed any of my information?
Within LUAccess, click on the name of the authorized proxy to expand their information. Then click on the History tab to review the activity for that authorized proxy. The webpage will display the most recent activity including access to information items being granted, information items being disabled, as well as the items the authorized proxy viewed. The most recent 40 items will display.

What is the purpose of the History tab?

Will my authorized proxy be notified if I modify or remove authorization to view my information?
There is no automatic notification sent when you modify those items on the Authorization tab for your authorized proxy. You have the ability to click the “Send email to authorized proxy” icon and it will generate an email to your authorized proxy.

If I make someone an authorized proxy, can they call Lourdes if they have questions about it?
If your authorized proxy has a question about the functionality of LUAccess, they should first check the Authorized proxy FAQ’s. If they have a question about your student information, remember: your authorization is authorization to VIEW the item. LUAccess does not give an authorized proxy the permission to discuss your educational record with a Lourdes University official. If you would like your authorized proxy to be able to discuss the information you have authorized them to view, you need to also give them FERPA release access. FERPA release information and form.

I only want my authorized proxy to have access for a particular time frame. Can I set a date range?
LUAccess allows you to set a start and end date for each authorized proxy that a student identifies. Login to to LUAccess, on the LUAccess management page, click on name of authorized proxy to expand their information. On the profile tab you see the start date and end date. Each can be changed.
